Lead Capture
Definition, how it works, and why it matters for service businesses.
Lead capture is the act of gathering the details from an inbound inquiry that a business needs to follow up and win the job — name, phone number, address, the service requested, and how urgent it is. It's the difference between a call that simply happened and a call that produced something the sales or scheduling team can act on afterward.
How it works
During the call, the answering system (human or AI) asks a structured set of qualifying questions and records the answers into a usable format — a CRM entry, a text alert, or a work order — rather than relying on a scribbled note that might get lost. The quality of lead capture depends on whether the right questions get asked every time, regardless of how busy or rushed the call feels.
Why it matters for service businesses
Trades businesses often lose winnable jobs not because they weren't contacted, but because the details from the call were incomplete, illegible, or never wrote down at all — no callback number, no clear description of the problem, no urgency flag. Consistent lead capture turns every inbound call, even ones that can't be booked immediately, into a follow-up opportunity instead of a dead end.
Example
A homeowner calls a roofing company after a storm just to "see about an estimate"; proper lead capture records their address, the type of damage, and their preferred callback window, so the sales team can prioritize and follow up instead of the request evaporating into a missed voicemail.
