CRM Integration
Definition, how it works, and why it matters for service businesses.
CRM integration is the two-way data connection between a phone or answering system and a business's customer database, so calls automatically create or update records instead of requiring someone to type them in later. It removes the gap between what happens on a call and what ends up in the system of record.
How it works
Call events — a new lead, a booked appointment, a left message — get pushed into the CRM as they happen, while existing customer details like service history or address get pulled back into the call so the receptionist has context on who it's talking to.
Why it matters for service businesses
Trades owners are stretched between fieldwork and admin, and the manual step of writing something down on a pad and typing it into a system later is exactly the step that gets skipped when things are busy — which is also when leads are most likely to slip through.
Example
An electrician's AI receptionist books a same-day service call and the customer's contact details and job description sync straight into QuickBooks, so nothing has to be retyped before the invoice goes out.
