Callbook is optimized for service businesses including plumbers, HVAC contractors, electricians, roofers, landscapers, auto repair shops, salons, medical practices, law firms, pest control companies, moving companies, and more. We have specialized AI training for 22+ industries.
Will callers know they are talking to AI?
Callbook's AI is designed to sound natural and professional. Many callers don't realize they're speaking with AI because conversations are fluid and responsive. Setup & Integration
How long does setup take?
Most businesses are up and running in 5-10 minutes. Simply sign up, enter your business information, set your hours and services, and forward your phone number to Callbook. Our onboarding wizard guides you through each step.
Do I need to change my phone number?
No! You keep your existing business phone number. Simply set up call forwarding to your Callbook number. Customers continue calling your same number, but Callbook answers. You can forward all calls or just overflow/after-hours calls.
What if I want to answer some calls myself?
Callbook offers flexible call routing. You can: forward all calls to Callbook, only forward when you don't answer (overflow), only forward after business hours, or use simultaneous ring where both you and Callbook are reached. You control when AI answers.
Does Callbook work with my existing software?
Yes! Callbook integrates with popular tools including Google Calendar, Outlook, Housecall Pro, ServiceTitan, Jobber, Calendly, Zapier, and more. Our API allows custom integrations for enterprise customers.
Can I use Callbook for multiple locations?
Yes! Our Growth plan supports multi-location businesses with up to 5 phone numbers. Each location can have its own greeting, hours, service area, and team members while sharing a unified dashboard.
Security & Privacy
Is my customer data secure?
We take data protection seriously. Calls and customer information are handled securely and stored in US-based data centers, with data encrypted in transit and at rest. We never sell or share your data with third parties.
Is Callbook HIPAA compliant?
Callbook is not currently HIPAA-certified. The AI collects only the details needed to schedule an appointment and is designed not to discuss specific medical information. If your calls may involve Protected Health Information (PHI), contact us to discuss your requirements before getting started.
Can I delete my data?
Yes! You have full control over your data. You can delete individual call records, customer information, or request complete account deletion at any time. Our data practices are designed with GDPR and CCPA principles in mind.
Are call recordings stored securely?
If you enable call recording, recordings are encrypted and stored securely with access limited to authorized team members only. You can set automatic deletion policies (e.g., delete after 30 days) or manually manage recordings.

What Service Businesses Need to Know About AI Phone Answering
How AI Receptionists Handle Real Service Calls
AI phone answering has moved past the days of rigid phone trees and "press 1 for scheduling." Modern AI receptionists carry on natural, two-way conversations. When a homeowner calls about a leaking water heater at 10 PM, the AI collects the address, confirms the problem, asks about access to the shutoff valve, and books the first available slot on the technician's calendar — all without a human picking up the phone. The caller never presses a button or waits on hold.
This matters because service businesses lose an estimated 20 to 30 percent of inbound leads to missed calls. After-hours calls, calls during a job, and calls while driving are the three biggest gaps. An AI receptionist eliminates all three at once because it answers every call instantly, 24 hours a day.
Is AI Phone Answering Right for Your Business?
If your business takes inbound calls from customers who need to schedule service, request a quote, or report an emergency, AI phone answering is built for you.Plumbing, HVAC, electrical, roofing, pest control, locksmith, and cleaning companies all see the highest ROI because their calls follow predictable patterns: capture contact info, identify the problem, check the service area, and book.
Businesses that require extensive consultations before booking — like custom remodeling or architectural design — still benefit from AI call intake, but the AI serves as a qualified lead capture tool rather than an end-to-end booking agent. It takes the caller's details, qualifies the job, and schedules a follow-up call with the owner.
Setup, Cost, and What to Expect in the First Month
Most service businesses go live with an AI receptionist in under 10 minutes. You enter your business details, services, and hours. The AI trains on your specific trade immediately — a plumber's AI knows the difference between a slab leak and a running toilet from the first call. Plans start at $79 per month with no per-minute fees and no contracts, which replaces the $1,500 to $3,000 monthly cost of a part-time receptionist or answering service.
In the first month, most businesses report that call-to-booking conversion improves because the AI answers on the first ring, never puts callers on hold, and follows up with an SMS confirmation automatically. Emergency calls get routed to the on-call technician instantly, which reduces response time and protects the business's reputation.
